Cold outreach, and the maths behind the replies

Cold outreach is starting a business conversation with someone who hasn't heard of you. It works as a funnel: sends become replies, replies become meetings. Drag the numbers below to see which lever matters most.

The outreach funnel calculator

Your numbersdrag to change

126 emails per meeting at these rates.

Doubling your reply rate from 4% to 8% would give you 8.0 meetings from the same 500 sends — the same effect as sending 1,000 emails, without burning twice the list or your domain's reputation.

Opens are shown for context only: Apple Mail Privacy Protection and image blocking make open tracking unreliable, so they don't feed the maths. The default values are illustrative — use your own.

Why reply rate beats volume

Every step in the funnel multiplies the next, so improving any rate improves meetings in proportion. But the levers aren't equal in cost. Sending more emails uses up your list, and pushing volume from one domain risks your sender reputation — which then lowers the delivered rate for everything you send. Improving the reply rate costs only better targeting and better writing.

That's what the rest of this site is for: write sharper first emails, follow up without nagging, and keep the copy clean.

A multichannel cold outreach sequence

A starting cadence for one prospect across three weeks. Adjust the gaps to your market; keep each touch useful on its own.

WhenChannelWhat to do
Day 1EmailFirst cold email — hook, value, small ask.
Day 2LinkedInView profile, send a connection note (no pitch).
Day 4EmailFollow-up 1 in the same thread with a new angle.
Day 8PhoneShort call referencing the email; leave a 20-second voicemail.
Day 11EmailFollow-up 2 — a useful resource, no ask.
Day 16LinkedInComment thoughtfully on a post or send a short message if connected.
Day 21EmailBreakup email — close the loop politely.

Cold outreach done responsibly

  • Target narrowly. A list of 200 people who clearly have the problem beats 5,000 who might.
  • Be identifiable. Real name, real company, a physical address and a working opt-out (required by CAN-SPAM in the US).
  • Respect local rules. In the UK and EU, PECR and GDPR govern who you may email and how you handle their data; emailing individual consumers generally needs consent.
  • Stop when asked. Honour opt-outs immediately and across every channel.

Questions people ask

What is cold outreach?

Contacting people who have not asked to hear from you — by email, LinkedIn, phone or video — to start a business conversation. It is the opposite of inbound, where the prospect comes to you first.

What is a good cold email response rate?

It varies widely by industry, list quality and how targeted the message is, and published benchmarks disagree. Rather than chase an external number, measure your own reply rate per segment and angle, and improve the one you control. The calculator on this page shows why a better reply rate beats more volume.

Is cold outreach the same as spam?

Not when it is targeted, honest and easy to opt out of. Spam is untargeted bulk mail. A relevant note to one decision-maker, with an accurate sender and an opt-out, is ordinary B2B prospecting — subject to the laws where you and your prospects are (CAN-SPAM, GDPR, PECR).

Which channel works best for cold outreach?

Email scales best and is where most B2B outreach starts; LinkedIn adds a visible face; phone gets the fastest answers. Many teams combine them in one sequence — for example email, LinkedIn connection, follow-up email, call.
