ReachWriter / Sales email templates

Sales email templates for every stage of the deal

Short answer

Pick the template by stage, not by taste: a cold email needs a reason you are writing now, a follow-up needs one new thing, a stalled deal needs an easy question, and a customer email needs a real trigger. Below are 53 free templates sorted that way — each links to a page with timing, subject lines and an AI writer for that exact situation.

What every good sales email has in common

  • A reason it is going to this person now. A trigger, a post, a conversation, a usage milestone. Without one, it reads like a campaign.
  • One outcome, not a feature list. What changes for them, in their words.
  • One small ask. A yes/no question or a choice of two times is easier to answer than "let me know your thoughts".
  • Phone length. Most of these templates are under 100 words once filled in.

Templates give you the structure; the first line is still yours to write. For a fully personalised first touch, describe the prospect in the AI cold email generator. Before sending anything to a list, run it through the spam checker, and follow the anti-spam rules where your recipients are (CAN-SPAM in the US; GDPR and PECR in the UK and EU).

Questions people ask

What is the best email template for sales?

The one that matches the moment. A cold prospect needs a reason you are writing to them now; a stalled deal needs one easy question; a customer near a plan limit needs the outcome of upgrading. Pick by stage, then personalise the first line.

How do you write a sales email?

Open with something specific to the reader (a trigger, a post, a problem in their role), connect it to one outcome you deliver, add a piece of proof if you have one, and finish with a single low-effort question. Keep it short enough to read on a phone.

How long should a sales email be?

Most cold and follow-up sales emails work best short — roughly 50 to 125 words. Recaps after a meeting can be longer because they carry action items.

What is the 30/30/50 rule for cold emails?

It is a rule of thumb that circulates in sales circles rather than a published standard, and it is described in different ways. The useful idea behind such rules is the same: split your effort between the subject line, the opening and the ask, because each one decides whether the next gets read. We would rather test two versions on similar prospects than follow a fixed ratio.

Are these sales email templates free?

Yes, every template here is free to copy into Gmail, Outlook or your sequencer. Replace anything in [brackets] or {braces} before sending.
