Sales follow-up email templates

Short answer

A good sales follow-up email is shorter than the email before it, replies in the same thread, and gives one new reason to answer: a sharper angle, a useful resource, or a question that takes one word to reply to. Send the first one two or three business days after your last touch, then widen the gaps.

When to send it

SituationTiming
After a cold email2–3 business days, then 4–5, then about a week
After a discovery callSame day recap, then 3–4 business days if quiet
After a demoWithin 24 hours, with the next step you agreed
After a quote or proposal2–3 business days, then weekly

After a cold email: new angle

SubjectRe: [topic / what it is about]

Hi [their first name], A different way to put my last note: most teams I talk to only notice [topic / what it is about] when it is already costing them a deal or a deadline. If that sounds familiar at [their company], I can show you how others catch it earlier. Worth 15 minutes? [your name]

After a discovery call: recap + next step

Subjectrecap: [topic / what it is about]

Hi [their first name], Thanks for the time on [day or date referred to]. What I heard: - the main goal is [goal] - the blocker today is [blocker] - [person] needs to be involved before a decision As agreed, the next step is [next step]. Does [date/time] still work? [your name]

Stalled deal: the simple question

Subjectstill a priority?

Hi [their first name], Is [topic / what it is about] still on the list for this quarter, or has something else jumped the queue? Either answer helps me — I would rather know than keep nudging. [your name]

Subject lines that fit

  • Re: {original subject}
  • one more idea for [their company]
  • [topic / what it is about] — next step?
  • worth a look, [their first name]?
  • closing the loop on [topic / what it is about]
  • should I check back in Q3?

Check how yours truncates on a phone with the subject line tester.

What makes it work

  • Lead with what is new, not with "just checking in".
  • Keep it under about 80 words; the reader already has the context below.
  • Ask a question that can be answered from a phone in one line.
  • Log each touch so you know when to stop — three or four follow-ups is a sensible ceiling.

Questions people ask

How do you write a sales follow-up email?

Reply in the same thread, open with one new thing (an angle, an example, a resource), keep it short, and end with one easy question. Do not repeat the whole pitch.

How soon should I follow up after a sales call?

Send a recap the same day while the details are fresh. If the agreed next step slips, follow up three or four business days later.

How many times should I follow up on a sales email?

Three or four follow-ups after the first email is a common ceiling for cold outreach. For an active deal, follow the next step you agreed rather than a fixed count.

What can I say instead of "just checking in"?

Give the reason for writing: "One idea on…", "A quick example from a team like yours…", or a direct question such as "Is this still a priority this quarter?"
